Processes, responsibilities and rates


Who can use Pachamama House?


Priority for rental spaces is given to groups or projects where the primary objective is environmental and social change that aligns with the core purpose of Pachamama House. Regular users of the space include groups that are active in environmental campaigns, community education, yoga and wellness, refugee advocacy, renewable energy and a range of arts and community initiatives. Only groups and activities that broadly align with and do not contravene our values and objectives are to occur at Pachamama House.


How do I book a space at Pachamama House?

Please check availability online at: www.pachamamahouse.com.au. To book, fill out this form on the website (preferred) or (if you can’t use the online form) email contact@pachamamahouse.com.au or call: 1300 909 915.


Promoting your event: if you’re hosting a public event at Pachamama we will happily notify our our Facebook followers and add a listing to our occasional email updates to help spread the word. Just send us the details or share your Facebook event with us.


What spaces are available?

Pachamama House has three spaces available for hire. Please see below for prices and descriptions.


The Upstairs Back Training / Yoga Room: Suitable for presentations, meetings, workshops and trainings.

  • 66 sq.M area. 6M x 11M

  • Seats up to 60 in theatre style. (33 under Covid-19 2 sq.M per person rules, 16 under 4 sq.M per person)

  • Carpeted and air conditioned.

  • Chairs and tables.

  • Screen fixed to wall for presentations and films.

  • Exclusive use of a small kitchenette: including urn, cups, cutlery.

  • Access to plates and platters can be arranged.

  • One toilet and basin directly off the main room.


The Upstairs Front Common Room: Suitable for smaller presentations, meetings, workshops and trainings.

  • 35 sq.M. 3.7M x 9.5M

  • Seats up to 40 in theatre style. (17 under Covid-19 2 sq.M per person rules, 10 under 4 sq.M per person)

  • Has a lounge area on one side (10 people), and tables, chairs and a whiteboard on the other.

  • Shared use of a small kitchenette, including urn, cups, cutlery and crockery.


The Courtyard (with disability access):

  • 129 sq.M

  • Outdoor area can fit up to 60-80 in a ‘cocktail’ set-up (standing). (64 under Covid-19 2 sq.M per person rules, 32 under 4 sq.M per person rule)

  • Access to a BBQ and coffee machine.

  • A small stage.

  • A lounge area.

  • Access to plastic chairs.

Group Type: The rates for room hire are different for different groups:

  1. Government agencies and profitable businesses are to pay the full price.

  2. Funded community projects, NGOs, or for-profit private enterprises to pay the discount price.

  3. Fledgling community projects and unfunded community groups to pay the extra discount price.

  4. Tenants of Pachamama House are not required to pay additional fees for booking common spaces.

Unfunded community and grassroots activist groups that are closely aligned with Pachamama House core values and purpose may be given access for free, upon request, when not competing with tenant needs.


How do I access a space I’ve booked?

When your booking is confirmed we will text or email the door and gate access code to you. It will be your responsibility to keep this information safe and not share it.


How do I pay for space hire?

Please follow the PayID instructions below, place a direct deposit or transfer with the details below (preferred), or place cash in one of the lock-boxes.


PayID / Osko payment:

1. Log in to your internet banking (on your phone or desktop).

2. Select 'add a new payee'

3. Select 'email address' and enter: payid@pachamamahouse.com.au

4. Gladneys Pty Ltd ITF should show up.

5. Enter amount to pay.

6. Enter your group and your name.

OR there is a little blue coin box on the bench near the upstairs kitchen (left hand side as you approach the kitchen) and one in the back yoga/training room kitchen. You can deposit cash into this box, please also include a note with your name, what the space was used for, the date and the amount you are contributing.


Will I receive an invoice for my room hire? As Pachamama House is run by volunteers and our hire costs are minimal we greatly prefer to avoid generating invoices for room hire. However, if the hire cost is more substantial or the nature of your organisation requires it, please get in touch and an invoice can be arranged.


When using Pachamama space:

- Treat the space like your home and respect it as a community resource.

- Unless there are obviously other people coming and going from the building when you leave, ensure all doors to the buildings and the side gate is locked.

- Make sure lights (including toilet lights) and the air con are switched off before you leave.

- Leave the space at least as clean and tidy as it was found. Pachamama is maintained by volunteers, so you’re part of the team.

- This includes wiping spills and crumbs from benches and tables with a damp cloth, washing, drying and putting away crockery and cutlery, and leaving furniture as you found it. If you make a mess on the floor there is a vacuum cleaning under the stairs in the main building or in the kitchen in the Yoga/Training room, and brooms in the kitchens. There are also cleaning products in both these places.


Policy for using the courtyard for evening gatherings:

- Bookings are for community-oriented gatherings

- Sale of alcohol is not permitted

- No amplified noise after 10pm on weekdays or after midnight on weekends

- Shut down and everyone out by 1am

- Lock the gate on the way out

- Ensure all doors to the buildings are locked and closed

- Leave the space at least clean & tidy as it was found & return the next day to finish cleaning; this includes every cigarette butt, bottle, beer bottle cap, piece of rubbish and lost property.

- Take away any recycling or rubbish that does not fit in the Pachamama bins (bins are kept to the north of the building out the front)

- A $100 bond may be required for certain bookings

- Notify the neighbours at least 1 week in advance via letterbox drop (if there is going to be loud, amplified music after 10pm).



Cancellations:

Please plan carefully to avoid cancellations as they restrict the community activity that may occur at Pachamama House, as we may have to turn other bookings away. Please let us know ASAP if your plans change and you need to cancel. Cancellation fees are: 15% within a month of the event, and 40% for within a week.
